Frequently Asked Questions

Here are a few of the more common questions and their answers from an event planner's perspective. As an event planner you may have a question regarding our process and how we assist you in securing a headline act or speaker for your event or venue.

  • What does Book the Best do?

Book the Best takes the often difficult process of locating, negotiating, and contracting with celebrities, chart-topping bands and musical acts, superstar athletes, innovative business and industry leaders, influential world and political figures, and pop culture luminaries for events of all types.

  • Why use Book the Best?

There is a lot more magic to booking top talent than simply signing papers, and we know this industry inside and out. We've got the necessary contacts, we already know which doors to knock on and which ones only reach dead ends. We've also got over two decades of experience in celebrity booking and talent management.

We've booked top bands for public and private performances, handled celebrity meet and greets across the country, grand openings and launches in the hottest cities of the world, and sent the most memorable variety acts across the globe. We've introduced CEOs to pop culture icons through corporate events, and we've got the scrapes and bruises to prove it.

Each and every booking is its own special challenge for us, but we make it seamless for you, taking care of the networking and contacts, phone calls and contracts, so you can focus on the finer details of your event. We take the difficult work out of your hands, but we're right there by your side from the first email sent to the last autograph signed.

  • Does Book the Best exclusively represent the artists on the roster?

We exclusively represent only a handful of artists on our roster. As a buyers' agency, Book the Best represents the buyer to help procure the talent, regardless of who the manager or exclusive representation happens to be.

Booking celebrity talent can be a difficult and complex undertaking. As a concierge booking agency, we help identify appropriate talent, contacting the right agents, negotiate agreeable rates, and deal with the myriad logistical challenges of scheduling, paving the way for your successful event.

  • How does this work?

First, if you've already got a plan and just need to find your star, you can start by browsing through our roster of talent. Once you find the perfect talent to book for your event, move to step 2. If you didn't find who you were looking for, that's okay, you can move to step 2 anyway.

Step 2 is actually the easiest part. Contact us! Give us a call or complete our contact form, and one of our agents will respond to your request. If you know who it is you need to book, let us know and we can get the ball rolling. If you know who you want and didn't find them listed, let us know that too, and we'll do everything we can to book the celebrity you need.

If you're not sure which celebrity best fits the bill for your event, or if you're still in the early planning stages, that's perfect... contact us and let us know a few key factors (budget, location, schedule, type of event, etc.) and we can get your search started from there.

From there we will provide you with an official Offer Form for your approval, which is then sent along to the celebrity (or their manager) for their consideration. At this point, it is important to note that you are contractually bound to the agreement if the offer is accepted. When everything is signed and sealed, you'll submit your deposit (typically 50% of the booking fee, with the remainder due prior to the event), and we take care of the rest.

  • What does it cost to book a celebrity?

It's impossible to put a blanket price on a celebrity booking. Scheduling, type of event, travel requirements, demand, and other details will determine the final cost of booking your talent. Once you let us know the performer, band, speaker or personality you're interested in booking (along with some other important details about your event), we'll be able to give you an approximate cost range.

On top of the fee the talent requires, Book the Best receives a commission for procuring and contracting the talent, which is typically within the industry standard of 10-20%. We make every effort to procure the very best talent for the very best price, and our years of successful celebrity bookings have given us a fantastic reputation within the industry.

Every contract we issue itemizes and explains costs associated with booking your entertainment. Expect that there may be costs involved for transportation and lodging, as well as back-line and rider requirements. Every step of the way, we'll keep you in the loop if there are other cost considerations.

  • What is included with the appearance? Autographs? VIP parties?

Every event is different, and we tailor each offer to fit your exact needs. Not everyone has written a book, so we can't include "book signing sessions" in a standard FAQ response, and most clients wouldn't request that a superstar athlete perform their "new hit single" at the end of a celebrity golf tournament.

If your event needs an autograph or meet and greet section, we'll make sure that it's included in the offer. We want you to be happy, and the easiest way to do that is for us to avoid making every event fit into the same mold.

  • When should I start planning? How much lead time do you need?

You should start planning... yesterday! (don't you hate that answer?) Honestly, we can work under the most harrowing deadlines, but the more time you give us to arrange everything, the better chance you'll have of getting the celebrity talent you want, and at a cost that works for everyone.

Schedules fill up, and transportation can be tricky, so the sooner you let us know the details, the easier we can make it happen. Six months of lead time would be awesome. A year of planning and coordination opportunities could make it child's play. But we work within much smaller windows all the time, no sweat.

  • What about cancellations?

Even with all the careful planning and coordination that goes into an event, problems such as weather or illness can occur. Luckily, we've dealt with just about everything over the years, and if something does come up, we'll pull everyone together, strap on our capes, and plow straight ahead to make sure that your event is still a success.
